Aymar’s Quince: Contract #1

Some events will always mean a little more.

For Emerald Events, Aymar’s quinceañera will forever be one of them.

It started with a phone call from a family who found us on Facebook.

There was no date. No venue. No vendor team. Not even a dress.

What Aymar did have was a vision.

She had a screenshot of the dress she wanted — no link, no designer, no store, just a picture and the thought that it might be somewhere in California. 😂 She also had inspiration photos showing us exactly what she wanted her quinceañera to look like.

Our job?

Turn that vision into a quinceañera for 150 people in three months.

That phone call became Emerald Events’ very first signed contract AND our first full-planning client.

And if you know us now, you know starting small has never really been our thing. 😂

Three Months. Let's Go.

First, we needed a date and a venue.

Somehow, the timing worked in our favor. Cascade Flats, a venue we already knew and loved, had a cancellation that opened up a date within our tiny planning window.

Next: find that dress.

We eventually tracked the exact dress from Aymar’s screenshot to Celeste Boutique in Lynden. But it wasn't sitting there waiting for us — it had to be ordered.

Estimated arrival?

Two and a half months.

For a quince we were planning in three.

Celeste made it happen, and Aymar got THE dress.

Then we needed the right people to bring everything else together.

And we have to give some serious love to Diana Villareal.

Diana is unbelievably talented, and somehow she made both Aymar's trial AND quince day work within our crazy three-month timeline. Seeing how sought-after she is now — already booking so far into next year — doesn't surprise us one bit. She is THAT good, and we were incredibly lucky to have her as part of this day.

For décor, we partnered with Elegancias Guadalajara for the main table, dessert table and entryway while Emerald Events took on all of the guest-table décor — another first for us.

We LOVE working with Elegancias. Their work is beautiful, we work incredibly well together, and our décor came together seamlessly to turn Aymar's inspiration photos into an actual room.

And then there was Steven Chamorro, Aymar's photographer/videographer.

Steven was amazing to work with. He worked with us to create something that fit the family's budget AND pulled off Aymar's pre-quince photos with only about a two-week turnaround.

Those are the kinds of vendors that make full planning possible.

And somehow, three months later, we had built the entire 150-person celebration under the family's overall budget — Emerald Events included.

Our First Divide & Conquer

Event morning, Xzenia and I were at Cascade Flats setting tables, chairs and decorating the guest tables.

There was just one little complication.

Emerald Events also had a wedding that day.

Six minutes away.

Xzenia had attended every meeting throughout Aymar's planning, so when we decided we could divide and conquer, I asked which event she wanted.

She chose the quince.

We finished setup together, I headed to the wedding, and Xzenia took the lead.

And WOW did that day test her.

The event was already hours behind before it really got started. Padrinos needed for traditional moments weren't there when scheduled, and the entertainment team was trying to make changes and additions throughout the event.

At some point, the timeline stopped being something Xzenia could simply follow.

She had to coordinate.

She adjusted, communicated, rearranged moments and kept the celebration moving.

When my wedding ended, I headed straight back to the quince.

And I was SO proud of her.

Not because everything had gone perfectly — it absolutely had not.

I was proud because when the plan stopped working, she did.

That day taught us something we've carried into every event since:

A timeline is the plan. Coordination is what happens when the plan changes.

Contract #1

Aymar's quince gave Emerald Events so many firsts.

Our first contract. First full-planning client. First guest-table décor. And our first divide-and-conquer event day.

Now here we are in mid-August, 21 contracts strong, and it's crazy to think that contract #1 started with a phone call, some inspiration photos and a screenshot of a dress we weren't even sure we could find.

Aymar's family trusted a brand-new Emerald Events to figure it out.

And we had some incredible people helping us do it.

Cascade Flats. Celeste Boutique. Diana Villareal. Elegancias Guadalajara. Steven Chamorro.

Thank you for working with us, working within our client's vision and budget, and helping us pull off something a little crazy in only three months. 🤍

The dress arrived. The room came together. The traditions happened.

And 150 people got to celebrate Aymar.
